Out-of-office detection is one of the smallest cold-email automations with the largest return. Correctly pausing a sequence when your prospect is on vacation — and resuming it the day they return — stops the most annoying cold-email pattern (four more touches while they're skiing) and produces markedly better reply rates than blasting through the OOO.

Why blasting through OOO hurts more than you'd think

  • When the prospect returns to 600 inbox items, yours is competing for attention at the worst possible moment.

What a working OOO detector does

  1. Classifies the auto-reply as OOO (not interested, not unsubscribe, not reply-requiring-attention).
  2. Parses the return date from the text: "back Monday," "returning July 15," "until further notice."
  3. Pauses the sequence for that address only — not the whole campaign.
  4. Resumes automatically on the return date, with a small buffer (1 day) to let them clear the backlog.
  5. Handles "until further notice" — pauses for 14 days by default, then re-tries once.

Edge cases worth handling

  • Parental leave / medical leave — pause for 90 days, then notify rep for human review.
  • Departure mentioned in auto-reply — "I no longer work here" — classify as job-change, not OOO.
  • Alternate contact suggested — capture the alternate contact's name/email and optionally enrol them.
  • Recurring OOO (every Friday) — schedule sends around known patterns if the same OOO fires on multiple days.

Natural-language parsing for return dates

Real OOO messages are messy: "back after Easter," "out until next Tuesday," "returning 2nd of May." Keyword rules miss most of these. A natural-language classifier combined with a date-entity extractor handles 95%+ of real-world cases. For the ambiguous 5%, the safest default is a 7-day pause.
