Cold email in 2026 is less about clever subject lines and more about infrastructure. Google and Microsoft enforce DMARC, per-mailbox daily limits are tighter, and a single spam complaint can tank a domain's reputation for weeks. The three layers you need

  1. Domains: Secondary and tertiary lookalike domains that protect your primary brand domain.
  2. Mailboxes: Multiple mailboxes per domain, each warmed and kept under daily send caps.

Domains: lookalikes, not your primary

Never send cold outreach from your primary brand domain — a single spam-trap hit can kill reputation for your support, billing, and account-exec threads. The standard pattern is to buy 2–4 lookalike domains (e.g. try-brand.com, get-brand.com, brand-sales.com), set up the same branding, and rotate mailboxes across them.

Every domain needs SPF, DKIM, and DMARC records correctly published before the first send. A DMARC policy of p=none is acceptable while you monitor, but the record must exist. Inbox Engine provisions all three on creation.

Mailboxes: daily caps and identity hygiene

  • Days 1–7: 5–15 sends/day (warmup only).
  • Days 8–14: 15–30 sends/day.
  • Day 15 onward: cap at 30–50 sends/day depending on mailbox provider and tenure.
  • Never share a mailbox across unrelated campaigns — mix the reputation signals and you can't isolate a problem.

Warmup: what actually happens during 14 days

Warmup is not magic — it's a network of cooperating mailboxes that exchange real-looking conversations with each other. Opens, replies, and "move to primary" actions train the mailbox provider that your domain is a normal correspondent. Rotation: protect the herd

A rotation strategy means the sequencer picks from a pool of healthy mailboxes for each send, weighted by current reputation. If one mailbox's open rate dips or a bounce spike is detected, it is paused automatically and the other mailboxes carry the volume. This is the single most effective defense against one bad list or one provider outage.

Quality of list still matters

Infrastructure alone cannot save a dirty list. A 5% bounce rate will get your domain throttled regardless of how perfect your DMARC is. Run every address through email waterfall verification before dispatch, and re-verify old lists monthly.
